Key takeaways
  • A trial run by the buyer proves nothing about adoption. Put it in the hands of the people who will actually complete the work.
  • Measure four things: completion without help, time per check, missed checks caught, and licences needed at full scale.
  • Thirty days is more than enough. Two weeks usually settles it.
The mistake that wastes the trial
The buyer completes every check themselves

It is the natural thing to do and it invalidates the result. You already know you can use the software. The open question is whether a technician on a night shift will, without being asked twice.

Design the trial in one sitting

  • Pick one process, the one that generates the most chasing today.
  • Pick five people who actually perform it, across at least two shifts.
  • Set a fixed window: two weeks is usually enough, thirty days is generous.
  • Decide the four numbers you will record before you start.
  • Tell nobody to try harder than usual. You want the real completion rate.

The four numbers

  • Completion without help. Of checks sent, how many were completed with no assistance and no reminder from a person?
  • Time per check. If it takes materially longer than the paper it replaces, adoption will decay after the trial ends.
  • Missed checks caught by the system. Did the tool notice, or did a supervisor?
  • Licences at full scale. Price the whole rollout, not the trial. This is where per-seat models reveal themselves.

What not to spend the trial on

Building fifteen templates, configuring integrations, or testing features you will not use in the first six months. These consume the window and answer nothing about adoption. One process, done properly, is the whole point.

Reading the result honestly

If completion without help is high and the system caught what was missed, you have your answer. If completion was low, find out why before blaming the people: an install, a login, or a form that is longer than the paper version explains most of it.

Trialling RakuOps

Start free, with every feature included for up to 5 people who log in and unlimited people completing tasks. Send a real check to real staff from a link on day one; there is nothing for them to install and no account for them to create, so the trial measures your process rather than your onboarding.
